NOTITIA INFORMATION

Terms & conditions

Effective 29 October 2026

1. Who the service is for

Notitia helps associations, professional networks, community groups and school communities manage their members and stay connected. A representative requesting a workspace must be at least 18 and authorised to act for the group. The standard service is intended for adult members. Contact Notitia before including anyone under 18 so appropriate permissions and safeguards can be agreed; do not upload children’s records through ordinary onboarding.

2. Accounts and group membership

Give accurate information, keep your password private and report suspected misuse. Workspace requests are reviewed by Notitia. Members verify their email and wait for their own group’s approval. Approval is not a guarantee of a person’s qualifications, professional conduct or identity beyond the checks performed. Groups remain responsible for deciding who may join and which administrators may manage their workspace.

3. Acceptable use

Use Notitia lawfully and respectfully. Do not impersonate others, send spam or harassment, upload unlawful or misleading content, scrape member information, access another group’s records, bypass permissions or share someone’s information without authority. Business owners are responsible for the accuracy of their listings. Directory approval and reviews are not endorsements by Notitia.

4. Workspace data and privacy

Each group manages its own workspace and must have a lawful basis for the information it provides. Only submit information needed for member administration and explain its use to members. Notitia provides the platform and processes workspace data to deliver the service. Workspace administrators manage membership and submitted listings; provider operators manage onboarding, billing and support without member-directory or private-message browsing through the operations portal. See the privacy policy.

5. Free plan and trial

Community is free for up to 50 members. Each new workspace receives one 14-day trial from workspace creation/activation. No card is required and there is no automatic charge after the trial. Changing a plan does not restart the trial. After expiry, eligible groups can continue on Community. Larger unpaid groups retain administrator billing, support and personal export access while community access may be restricted. Records are not automatically deleted when a trial ends.

6. Prices, subscriptions and payments

Community is free for up to 50 members. For larger groups, request a written quote. Scope, price, billing interval and any setup services must be agreed before paid activation. Agreed totals are in Ghana cedis unless the quotation states otherwise. Removing public pricing does not change an existing agreed subscription or paid contract.

The application currently uses Paystack test mode. Do not treat test payments as real purchases. Contact Notitia to confirm paid activation. When live payments are enabled, each payment requires authorisation and must be verified before paid access is granted. Mobile money is not automatically debited. Where an actual payment is accepted during a trial, the purchased period follows the remaining trial.

7. Cancellation and payment concerns

Cancellation stops future renewal invoices while preserving the already paid period. It does not automatically refund a completed payment. Contact Notitia promptly about duplicate, mistaken or disputed payments; requests are reviewed with the payment record and applicable law. These terms do not remove rights that cannot lawfully be excluded.

8. Support and availability

Workspace administrators can open support tickets in Billing & support. Members should contact their workspace administrator about membership decisions. Email and phone support are available through the contacts below; no 24-hour response, uptime guarantee or dedicated support agreement is promised unless agreed in writing. The service may be interrupted for maintenance, incidents or necessary changes. Export important records regularly.

9. Content and intellectual property

You retain rights to content you submit and permit its processing and display as needed to provide the service and your chosen visibility settings. You must have permission to submit it. Notitia branding, software and website materials remain owned by their respective rights holders. Illustrative members, businesses, events and campus artwork on the marketing site are examples, not customer endorsements.

10. Suspension, closure and changes

Access may be restricted for abuse, security concerns, unpaid agreed fees or a group’s closure request. Contact support if you believe a restriction is mistaken. Billing, support and personal export remain available to eligible workspace administrators during a service suspension. Ask Notitia to agree a workspace-wide data return and closure plan before terminating a workspace. Updated terms will show a new effective date; material paid-service changes will be communicated before applying to future service. These terms do not retroactively replace an existing signed agreement.

11. Responsibility and disputes

Groups and members are responsible for their own content, membership decisions and dealings with member businesses. No business outcome or uninterrupted availability is guaranteed. Any responsibility or remedy remains subject to applicable law and the agreed service contract. Please contact Notitia first so we can try to resolve a concern. Applicable Ghanaian law governs the service, subject to mandatory rights that apply to you.
