NOTITIA INFORMATION
Privacy policy
Effective 26 October 2026
This notice covers the marketing website and explains the roles involved in a group workspace. Your organisation should also provide its own privacy notice for member administration. Contact Notitia before sharing information if you need clarification.
1. Website visits and enquiries
This marketing website uses no advertising or analytics trackers. Pricing, the hero slider and the illustrative product tour run in your browser. The enquiry form prepares an email draft; it does not automatically send it or submit it to a lead database. Your email provider handles a draft you choose to open or send. Hosting access logs may include IP address, requested page and time for delivery and security. Contact information you send by email or phone is used to respond to your enquiry and manage the resulting relationship.
2. Workspace information
Notitia processes account details, group membership, profile information, submitted business listings and reviews, events and RSVPs, direct messages, notifications, invoices, payment references and support conversations to provide the platform. The group determines its member-administration purposes and membership decisions. Notitia supplies the platform and processes workspace information for that service; it also manages its own security, billing and customer support records. Authentication uses essential session cookies, separate for workspace accounts and provider operators.
3. Choices and workspace separation
Members can choose member-only or private profile visibility and separately choose whether to share contact details. Workspace administrators can manage their group’s membership records. Different groups cannot browse one another’s workspaces. Provider operations access covers operational summaries, onboarding, billing and deliberately submitted support information; it does not provide member-directory browsing or impersonation. Do not include passwords, private messages or member lists in support tickets.
4. Service providers and hosting
The marketing website and mailbox use the existing cPanel hosting. The application and its database run on Fly.io infrastructure in the United States, with email sent through the configured mailbox provider. Paystack handles hosted payment checkout when enabled; Notitia stores transaction references and verification results rather than card or mobile-money PINs. Payment processing is currently in test mode. Cross-border hosting and any organisation-specific processing arrangements should be considered before real records are submitted.
5. Retention and security
Information is kept while needed to provide the service, resolve support or payment issues and meet applicable obligations. Account export and deletion controls are available; deletion does not necessarily remove records that must be retained for billing, security or legal reasons, and backups may persist until their normal replacement. Workspace-wide closure and retention arrangements should be agreed with Notitia. Access controls, encrypted storage and transport safeguards reduce risk but cannot guarantee absolute security. No fixed deletion or backup period is promised by this notice.
6. Access, correction and concerns
You can update your profile, use personal export and deletion controls, or contact your workspace administrator and Notitia about access, correction, objection, consent choices or other data concerns. Verification may be needed to protect your account. Ghana’s Data Protection Act, 2012 (Act 843) sets out applicable data rights. The Ghana Data Protection Commission provides information and a complaints route. This notice does not claim regulatory registration or certification.
7. Secondary schools and younger users
The standard service is for adult members and authorised administrators. It is not designed for current-pupil records. Contact Notitia before including anyone under 18 to agree lawful permissions and safeguarding requirements. If a child’s information was submitted in error, contact us so we can investigate.
8. Updates
Changes will be published with a new effective date. Material changes affecting existing customer arrangements will be communicated as appropriate. For questions, use the contacts below.
